How to build a second brain workflow

A second brain without a workflow is just a digital filing cabinet. The tools don’t matter as much as the system you build around them. The best second brain workflow has four stages: capture, structure, action, and follow-through.

The full cycle

Here’s how the four stages work together in a real workflow:

1. You record a meeting. The system captures the audio and transcribes it.

2. The system structures the transcript. It extracts action items into your task board, extracts people mentioned into contact profiles, and files key decisions into your knowledge wiki.

3. You see the action items on your task board. Each task has a deadline and context linked back to the original meeting.

4. The system nudges you before deadlines. As a task approaches its deadline, you get a reminder. If a contact you mentioned needs a follow-up, the system surfaces them.
